Advanced Search

In Advanced Search, you can use a number of search fields and filters to locate specific projects or bid requests. A project is an aggregate of several bid requests associated with a single address. When searching for a project or bid request, if only one project or bid request matches your search criteria, you see the project detail page. When multiple projects or bid requests match your search criteria, you see a list of those projects or bid requests in Advanced Search Results.

The screen shots in this document are generic, and your company’s interface may vary.

Access Advanced Search

       Select Advanced Search from the Projects menu (see Figure 1). The Advanced Search page appears.

1.   On the Advanced Search page, use the search fields and menus to filter for specific projects, types of projects, or bid requests. See Advanced Search fields and menus for information about each field and menu.

2.   Click Search. If only one project or bid request matches your search criteria, its Project Detail page appears. If multiple projects or bid requests match your search criteria, the Advanced Search Results page appears (see Figure 2)

Advanced Search Results

       Click a project or bid request to see its Project Detail page.

       The Select an Action drop-down menu allows you to complete various tasks for multiple projects or bid requests simultaneously. See Select an Action in Advanced Search Results for more information about this feature.

       The search results are sorted by the column with the blue header. Click any column header to sort by that data. Control the columns that appear using Column Admin.

The Advanced Search fields and menus are defined below.

Search Type

Select Project or Bid Request. A project is an aggregate of multiple bid requests associated with a single address.

Search Criteria

Program Group

Your company may set up multiple program groups in order to organize and manage projects and bid requests. Select a program group to search for projects in that program group.

Office Levels

Your company may set up levels of geographic or organizational hierarchies in order to organize and manage projects and bid requests. Select one or more areas or levels of the hierarchy to search for projects or bid requests in those areas or levels.

Reference #

A number assigned to a project by the asset manager. Enter up to 35 reference numbers, separated by commas, to search for multiple projects.

Contractor Name

Enter the assigned contractor’s name to search for bid requests assigned to that contractor.

XactNet® Address

The XactNet address is tied to the contractor’s XactPRM program and is the identifier by which bid requests are assigned and downloaded to them from XactPRM Connect. Enter the assigned contractor’s XactNet address.

Zip/Postal Code

The zip/postal code area where the projects are located. Enter the zip/postal code to search for projects in that area.

Filter Criteria

State

The state where the projects are located. Select a state to search for projects in that state.

Job Type

A project can be assigned one of several job types, as customized by your company. Common job types include maintenance, general, and foreclosure. Select a job type to search for projects with that job type.

XactPRM Connect Status

Statuses by which a bid request’s progress is tracked (for example, Delivered, Returned, or Cancelled). These statuses are automatically updated by XactPRM Connect. Select a status to search for bid requests currently at that status.

Workflow Status

Statuses by which a bid request's progress is tracked (for example, Attention Needed, or Site Inspected). These statuses are updated by the assigned contractor. Select a status to search for bid requests currently at that status.

File Status

XactPRM Connect classifies bid requests as File Open, File Closed, or File Reopened. A file might be reopened if something needed to be added to the bid request after its initial completion. Select a file status to search for bid requests currently at that status.

Audit Results

Statuses by which a bid request's audit standing is tracked. You can search for estimates with or without audit findings.

Referral Status

Some contractors refer a portion of the bid request to another contractor with a specialized skill (for example, a plumbing or roofing specialist). You can search for bid requests with two possible referral statuses: Referred and Created by Referral.

Project Manager

Use this menu to search for projects that do or do not have project managers assigned to them.

Review Status

Estimates that trigger a queue rule are reviewed. You can search for these bid requests by a number of statuses that indicate the progress of the review (for example, Reviewer Assigned, Reviewed, or Reviewed with Exceptions).

Service Provider Review Status

A service provider review would normally occur before the asset owner review. You can search for bid requests with a number of service provider review statuses (for example, Not Yet Reviewed, Review Accepted, or Reviewed).

Approval Status

You can search for bid requests with a number of approval statuses (for example, QA Not Yet Approved, QA Rejected, or Client Approved).

Reassignment Status

Projects or bid requests are sometimes reassigned to a different contractor program. Use this menu to search for Projects or bid requests that have or have not been reassigned.

Normal

You can send test projects or bid requests before sending a normal project or bid request to verify that the contractor is properly set up. Use this menu to search for test projects or bid requests, normal projects or bid requests, or both.

Use this menu to select the number of projects or bid requests to be displayed per page in Advanced Search Results.

Filter Dates

Use the primary date filter menu to search for projects or bid requests with the following statuses or events occurring during the specified date range: Created, Delivered, Returned, Corrected, Canceled, Rejected, Entered Queue, Third Party Requested, and Third Party Received.

       Select the check box next to the secondary date filter to search for projects or bid requests that were marked Job Started or Job Completed between selected dates.
